Why emails land in spam

It's not bad luck โ€” it's three missing records

Receiving servers (Gmail, Outlook and others) only let mail through when they can confirm it genuinely comes from you. Three mechanisms do that. When they're missing, the message looks suspicious.

SPF
Who may send

A list of servers allowed to send mail on behalf of your domain. If a message arrives from a server that isn't on the list โ€” it's suspicious.

DKIM
Sender signature

A digital signature attached to every email. The recipient's server checks it against a key in your DNS and knows the message wasn't forged or altered.

DMARC
Policy + alignment

Tells servers: "if a mail passes neither SPF nor DKIM โ€” reject it / mark it as spam". It also requires alignment: the sender address must match the domain signed by SPF/DKIM.

The most common cause in WordPress: the site sends mail with the default PHP mail() function, straight from the hosting server โ€” usually without DKIM and with a mismatched SPF. Add a bad sender address (like wordpress@yourdomain.com or, worse, someone else's address such as shop@gmail.com) and it will never pass DMARC. And since 2024 Google and Yahoo explicitly require SPF, DKIM and DMARC โ€” without them, some mail is simply rejected.

Email deliverability โ€” frequently asked questions

Almost always because the domain has no correct SPF, DKIM and DMARC, and WordPress sends mail with the default PHP function straight from the server. The recipient's server can't confirm the mail really comes from you, so it treats it as suspicious. Setting up authentication fixes the cause, not just the symptom.

No. The configuration works regardless of hosting and sending method โ€” we fix what you already have. If you're on a very weak setup we may suggest a better sending channel (e.g. a transactional service), but that's always your call.

No. We only change the way mail is sent and authenticated, plus the DNS records. Your mailbox, addresses and existing correspondence stay untouched.

A standard setup is usually 1โ€“2 business days, plus DNS propagation time (from a few minutes to a few hours). More complex cases, such as a store with a transactional service and multiple domains, are scheduled individually.

Access to the WordPress panel and to the domain's DNS zone (Cloudflare, hosting panel or registrar). If someone else manages the DNS, we can prepare ready-to-paste records and work with that person. We'll walk you through handing over that access step by step.

Even better โ€” those channels have the best deliverability. Then it's usually enough to add the SPF/DKIM records provided by that service and correctly set DMARC and the sender address. That's included in the configuration.
